In this pivotal role, you will spearhead our venue and hotel sourcing team, ensuring exceptional service as you manage the sourcing, negotiation, and contracting processes for diverse events, meetings, and conferences.
Key Responsibilities
- Develop and execute comprehensive sourcing strategies for events of all sizes, from intimate gatherings to large conferences.
- Oversee the RFP process via Cvent to secure optimal room blocks and pricing.
- Craft detailed proposals and maintain spreadsheets to track hotel availability and logistics.
- Advise clients in selecting venues that align with their business objectives.
- Draft, negotiate, and finalize contracts, while managing site inspections and on-site execution of programs.
- Supervise housing management tasks, including coordination of rooming lists, VIP arrangements, and function space allocation.
- Cultivate and maintain strong relationships with national account representatives, clients, venues, and hoteliers.
- Stay abreast of industry trends, regulations, and best practices.
- Document cost savings and facilitate post-event evaluations.
- Mentor and coach team members, contributing to the development of templates and operational playbooks.
Required Skills
- Comprehensive knowledge of leading conference destinations and major hotel brands.
- Proficient negotiation skills with a focus on securing favorable terms for clients.
- Exceptional attention to detail and superior organizational capabilities.
- Comfortable in client-facing situations, adept at engaging with diverse personalities.
- Proficient in Google Workspace, Asana, and Cvent, with familiarity in registration platforms and basic HTML being advantageous.
- Ability to lift up to 50 pounds and travel up to 25% of the time.
Qualifications
- Bachelor's degree in a related field such as Hospitality or Event Management.
- Minimum of 7 years of progressive experience in corporate events, hospitality, or a related area.
- Proven project management expertise, coupled with strong client relationship skills.
- Outstanding verbal and written communication abilities, complemented by strong organizational skills and the capacity to prioritize effectively.

Compensation And Benefits
- Competitive salary range of \(85,000 - \)105,000, commensurate with experience.
